COMMITMENT

Polar Bear Rubber Ltd. (“Polar Bear Rubber”, “we”, “our” and “us”) is committed to protecting the privacy of your personal information obtained by reason of your customer relationship with us. We collect, use and disclose personal information in the normal course of business in order to provide you with products and services, administer your account and to serve you better. We collect, use and disclose your personal information only as permitted or required by law.

This Privacy Policy details how Polar Bear Rubber collects, uses and discloses your personal information.

In order to provide our products and services, Polar Bear Rubber collects a limited amount of personal information about you. Typical personal information that we collect includes: your legal name, business name, mailing address, e-mail address, phone number(s), credit card information (including card type and number, expiry date and name of cardholder), and historical information regarding your prior dealings and transactions with Polar Bear Rubber.

• To carry out the intent of any contract of purchase or sale of products of services entered into by you with Polar Bear Rubber, including communicating with you in relation to such contracts;
• To open and manage your account with us;
• To process your payments;
• To advise you of products and services;
• To communicate with you; and
• To comply with applicable laws (including any required notices to you and disclosure to government agencies or authorities).

We will collect and use your personal information only for the purposes for which it was collected and for purposes that a reasonable person would consider appropriate in light of the circumstances or as otherwise allowed by law. If you do not consent to Polar Bear Rubber’s use of your personal information with respect to the purposes described above, please contact our Privacy Officer.  Please note that your withdrawal of consent may limit the type of business we can transact with you.

If we identify a new purpose for which your personal information could be used, we will obtain your consent before using the personal information for that purpose if required by law.

We will not disclose or otherwise transfer your personal information to third parties except to provide or facilitate products and services requested by you. In the event that your personal information is transferred to third parties, Polar Bear Rubber requires the third party to secure your personal information in a way that is consistent with this Privacy Policy, or as required by law. Further, Polar Bear Rubber only gives to the third party the personal information that is necessary to provide or facilitate products and services requested by you. Additionally, the third party is prohibited from using that personal information for any other purposes.  

SECURITY SAFEGUARDS

Polar Bear Rubber makes reasonable efforts to ensure that the personal information we have about you is accurate and complete. We rely on individuals to notify us if there is a change to their personal information that may affect their relationship with our organization. If you are aware of an error in our personal information about you, please let us know and we will correct it on request wherever possible. In some cases, we may ask for a written request for correction.

We have ensured that appropriate physical, administrative and technological safeguards are in place in an effort to prevent the unauthorized use or disclosure of your personal information.

Our employees are trained on the importance of maintaining the confidentiality of, and protecting, your personal information.

RETENTION

Polar Bear Rubber will retain your personal information for only as long as is reasonable to fulfill the purposes for which the personal information was collected. The length of time personal information is retained varies depending on the purpose for which the personal information was collected. This period may extend beyond the end of your relationship with us, but only for so long as it is reasonably necessary for us to have sufficient information to respond to any issues that may arise at a later date.

When your personal information is no longer needed for the purposes for which it has been collected, we will destroy it or otherwise render it anonymous. We employ appropriate security measures when destroying personal information, including the secure shredding of paper records and permanently deleting electronic records.

ACCESS

Upon written request and in accordance with the law, Polar Bear Rubber will inform you of the existence, use and disclosure of your personal information and will afford access to that personal information upon payment of any applicable charges. You are entitled to challenge the accuracy and completeness of the personal information and have it amended as appropriate.

Please note that Polar Bear Rubber may not be able to provide personal information about you if it would reveal personal information about a third party.

CHALLENGING COMPLIANCE

Any individual may challenge our compliance with our privacy obligations. To initiate a challenge, an individual may begin by contacting our Privacy Officer. We will investigate and respond to the challenge. If we find such a challenge is justified, we will take appropriate measures. If you are unhappy with our response to your challenge, we invite you to contact the federal Privacy Commissioner directly.

AMENDING THIS POLICY

We may amend this Privacy Policy from time to time and such change will become effective upon us making our updated Privacy Policy available on our website at www.polarbearrubber.com.
